Insurance requirements?

You can drive all of our vehicles on a standard car licence providing you:

  • Are aged between 25-75
  • Have held a full licence for at least two years
  • Have a recent (no older than 3 months) utility bill or bank statement that matches the address on your licence
  • Don’t have more than 6 points on your licence
  • Haven’t been involved in any fault accidents within the last three years

If you don’t meet one or two of the above criteria, or if your driving licence is from a non-UK country, please get in touch via email, we can likely still insure but we will need to take more details to check with our insurer. For example, we can often insure drivers aged 23+ if we know a little more about their driving experience.

What documents will I need?

  • Drivers Licence
  • DVLA check code from www.gov.uk/view-driving-licence
  • 2 x proof of address documents, these can be:
    • Most recent council tax bill, no older than 12 months
    • Recent utility bill or bank statement, no older than 3 months

If you can email these in advance, the handover on the day will be quicker. When emailing we can accept scans or high quality pictures of your documents. Please be sure to include all 4 corners of each document, you can redact any sensitive information. Proof of address documents must be no older than 3 months from the start of hire and the address should match your driving licence.

You can bring documents down on the day if you’d prefer, however we cannot release the vehicle without valid documentation so please make sure they meet the criteria.

Is there a damage deposit?

We will require a credit or debit card to pre-authorise an amount of £500-1000 (depending on the vehicle) at the start of your hire. This amount will be released at the end of your hire subject to the vehicle being returned in satisfactory condition

I need to cancel my booking, what is your cancellation policy?

Cancellations with less than 28-days notice are subject to a 20% cancellation fee. Cancelling with less than 14-days notice is subject to a 50% cancellation fee and in the event of a cancellation with less than 72-hours notice 100% of the rental will be chargeable. We will always attempt to fill cancelled bookings, and where this is successful, we will waive the cancellation policy for the number of dates we are able to rebook.

What is the insurance excess?

Our insurance excess is £1,500 + VAT per claim. Our insurer doesn’t offer a waiver.

We can recommend several companies that offer insurance excess policies that will cover you on for car hires throughout UK/Europe for an entire year for about £50 which is much more cost effective than paying a daily waiver fee.

Cleaning policy?

We aim to provide our vans showroom fresh at collection, they are given a full detail between each hire but we do expect you to return them in a reasonable condition. Smoking is strictly prohibited, if the vehicle is returned smelling of smoke we will charge the full cost to return the van to completely smoke free condition, at a minimum this is £500. If we can’t get rid of the smell entirely, we will look at re-upholstery which can cost in excess of £1,000 – so just don’t take the risk as this cost cannot be covered by the insurance). Charges also apply when vehicles are returned with excessive mud, pet hair, liquid spills, sticky residues or trash.

Where can I collect and can I leave a car?

We have sites in Newcastle (8 Hill Court, Dunne Road, Blaydon NE21 5NH) and Manchester (14 Red Bank, Manchester M4 4HF). Both of our yards are shared use with other local businesses so there is limited space and vehicles are left at owners own risk. Space is very limited at our Manchester site so please check in advance of collection to ensure we can accommodate.

Do you offer deliver & collect?

Yes, we can deliver & collect anywhere throughout the UK and Europe. Please get in touch for a quote, we have a large fleet of vehicles and hire to customers all over, this aligns more often than you might expect so sometimes we can offer incredibly low prices for this. Generally though we deliver at cost price so driver + expenses (Fuel, train/plane and taxis).

What time can I collect/return?

Our office hours are 9-4pm, if you let us know what time you’ll be coming in advance we don’t mind coming in early or staying late within reason (8am-5pm). If you’d like to collect or return outside of these hours (5pm – 8am) charge £24 to cover the cost of staff.

What happens if we have an accident or damage the vehicle?

Firstly please let us know by phone or email as soon as you can. We’re a vehicle rental company so don’t worry, you won’t be the first and we’ve got plenty of experience to help!

All of our vehicles have comprehensive insurance policies, but we do need you to comply with the insurers claim process in order to make a successful claim. Failure to do so may result in you being liable for the full cost of repairs. If it is a fault claim, you will be responsible for the insurance excess and any costs not covered by the insurance.

Recording what happened in as much detail as possible, make a note of what happened, the time, location, direction and speed of travel. It’s also worth noting driving conditions, and if a third party is involved, any statements or witness statements you can take down  are very helpful.

Does the insurance cover theft, vandalism or equipment stored inside the vehicle?

Our insurance policy only covers accidental damage to our vehicle and third parties. Theft of the vehicle is covered but is subject to higher excesses and terms. Please keep the vehicle key safe as if any vehicles are stolen with the key, the insurance will not cover this and you may be liable for the full replacement cost of the vehicle.

If the vehicle has been broken into or vandalised, please call us first. Make sure to take photos of any damage and make a note of the date, time, location and anything else that might be useful.

Our insurance only covers the vehicle, any equipment stored inside the vehicle would need to be covered under your own policy.

Can I drive in ultra low emission zones (ULEZ)?

Yes, all of our vans are Euro 6 so you don’t need to pay to drive in any low emission zones. Some European countries or specific cities (eg Brussels) require you to prove the emissions standard. We are happy to help assist here and some of our vehicles are already registered but please check this as we can’t accept responsibility for failing to do so and any fines would need to be passed on.

London Congestion Charge?

Some of our vehicles are exempt but please check this with us first, if they aren’t and you are travelling through the congestion zone you will need to pay online at https://tfl.gov.uk/modes/driving/congestion-charge/congestion-charge-zone

Dart Charge and Tyne Tunnel?

We have accounts set up to auto pay on all our vehicles. Please let us know if you’ve travelled or plan to travel on these and we can add the amount at cost price to your invoice. There may be an admin fee of £10 + VAT and the crossing amount if we aren’t notified at the time.

What is your policy for Fuel and AdBlue?

We supply our vehicles with a full tank of diesel and AdBlue, please return with both full.

We charge £20 plus vat on top of the fuel cost if we have to refill the tank for you.

Can we collect the night before?

This isn’t something we offer as it means the vehicle isn’t available for us to hire for that entire day. If you 100% need it the night before, you will need to book that day. However, feel free to ask us on the day before itself, if it happens to be available we’re usually happy to let you take it.

Can I extend my hire once it’s started?

Yes, subject to availability of the vehicle.

Can I take my vehicle to Europe?

Yes, all of our vehicles are fully insured for EU travel and also have roadside assistance. There is no additional cost for this, but please let us know which countries you plan to travel through and on what dates so we can make sure you are covered. If you are taking backline you may need an ATA Carnet and a GMR number – feel free to get in touch if you need any advice on these, we are well versed in the requirements and keep our knowledge base up to date!
